Job Description:
The Service Coordinator supports the day-to-day operations of the Commercial Roofing Service Division. This position manages scheduling, technician dispatching, customer communication, documentation, material orders, and billing support to ensure efficient service delivery. The role is essential to the growth of our newly established Service Department as we expand operations throughout Texas and nationwide.
Primary Roles/Responsibilities:
Service Scheduling & Dispatch
• Receive and assign incoming service requests.
• Create and manage work orders in the service management system.
• Schedule and dispatch Service Technicians efficiently based on geographic location, workload, and emergency priority.
• Track technician progress and update schedules, as needed.
Customer Communication
• Serve as the primary point of contact for customers regarding service calls, updates, and scheduling.
• Collect site information, access details, safety requirements, and warranty verification.
• Maintain a high level of professionalism, urgency, and follow-through.
Work Order & Documentation Management
• Set up digital project folders and job numbers.
• Ensure all technician reports, photos, notes, and time logs are complete and accurate.
• Maintain organized, updated project files for warranty, compliance, and internal use.
Material Procurement
• Order materials needed for service jobs and coordinate deliveries/pickups.
• Verify quantities, pricing, and job-specific requirements.
• Maintain inventory for commonly used service materials.
Estimating Support
• Assist the Service Manager in gathering information for quotes and proposals.
• Prepare draft estimates and track proposal statuses.
• Follow up with customers on open quotes.
Billing & Invoicing
• Review technician reports to ensure all billable items are captured.
• Coordinate with Accounting to finalize invoices.
• Track outstanding invoices and assist in resolving discrepancies.
Reporting & Administrative Support
• Provide daily/weekly updates on service call volume, backlog, and job status.
• Update CRM, job logs, and internal tracking systems.
• Assist in department planning and process improvements.
Required Skills/Competencies:
• 2+ years Strong Administrative skills (any industry)
• Bilingual: English/Spanish Language, a must
• Proficiency in CRM/Service platforms and Microsoft Office Suite.
• Strong organization and communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
Preferred Skills:
• Prior experience in a commercial roofing service department.
• Understanding of roofing systems (TPO, PVC, Modified, Metal, Coatings).
• Experience with Terial, Dataforma, ComputerEase or similar systems.
• OSHA 10 or basic construction safety training. (we can provide).
